Office Manager

Position Description: Office Manager must demonstrate managerial skills in handling a variety of administrative and executive support related tasks.

Principal Responsibilities and Duties:

  • Provide administrative support to the Director and I&R team.
  • Assist in the preparation of reports, presentations, or various letters. Maintain agency calendar and schedules.
  • Responsible for daily deposit and payment system processes.
  • Responsible for becoming the subject matter expert for internal reporting and tracking system.
  • Responsible for database management.
  • Oversees and supports other front desk personnel.
  • Coordinate  internal  and  external  meetings,  conferences,  travel  and  other  events  as  requested, including arranging for necessary materials, food, beverages, and audio visual needs.
  • Assist with special events as needed
  • Support additional administrative needs of the office (e.g. answering telephones, distributing incoming mail, interoffice mail pickup and delivery, preparing and distributing phone listings, ordering supplies etc.)
  • Required  to transport  themselves  to  and  from  meetings  and  pick up  supplies.  Mileage will  be reimbursed according to YWCA Tulsa policy.
  • Answers agency phone lines and provides information and referrals on the Tele-Ayuda phone line.
  • Serves as key contact to troubleshoot user issues.
  • Screens callers and walk-in clients to determine appropriate level of immigration consultation.
  • Schedules and oversees all immigration client appointments
  • Provides information and referrals to walk-in clients.
  • Provides professional interpreting and translating services as needed.
  • Participates in YWCA functions and community events as needed and requested by the Director.
  • Oversees agency supply requirements and orders supplies on a monthly bases.
  • Attends trainings/agency meetings related to job responsibilities as approved by Director
  • Responsible for placing appropriate client materials in front lobby and updating information board.

Education/Experience:

  • Bilingual in Spanish required.
  • Three to five years of administrative/office management experience required.
  • Associate’s degree in secretarial science, business administration, or a related discipline desired.
  • Proficient IT skills, including word processing, spreadsheets, and use of various databases. Intermediate knowledge of relevant software such as MS Office (Word, Excel, Outlook, and PowerPoint). Experience using donor databases desired.
  • Bilingual in Spanish required.
  • Notary Public helpful.

Essential Functions

Head Lifeguard

Position Description: Assist with the day-to-day operations of the aquatics area and program, and ensure patron safety and protect lives.  
 
Principal Responsibilities and Duties: 
  • Enforce facility rules and regulations and educate patrons about them.
  • Recognize and respond professionally, prudently and quickly during an emergency situation.
  • Administer first aid and CPR or use an AED in an emergency and, if trained, administer emergency oxygen when necessary.
  • Provide emergency care and treatment as required until the arrival of EMSA.  
  • Act as the lead guard on shift.  
  • Cover lifeguard duties or swim lessons during open hours as necessary.
  • Maintain supply inventory.
  • Data entry as required to keep track of pool and class attendance.
  • Oversee customer service, patron safety, equipment check-out, equipment maintenance and routine cleaning and upkeep of the aquatics area.
  • Assist with day-to-day operations of the aquatics area and program.  
  • Monitor activities in and near the water through patron surveillance.
  • Prevent injuries by minimizing or eliminating hazardous situations or behaviors.
  • Work as a team with other lifeguards, facility staff, and management.
  • When on duty, secure pool key and open swimming pool.
  • Make sure all proper readings are taken and properly logged. 
  • Maintain proper levels of chemicals so as to maintain a safe healthy environment for the clients.
  • Report any and all maintenance problems to the supervisor promptly.
  • Work shifts include morning, afternoon, evening, and weekend hours.  Some required holidays.  
 
Required Qualifications:

  • Ability to test and adjust pool water to ensure the proper chemical balance as well as the safety of the swimmers.

Education/Experience:
  • High School diploma or GED (must be 18 years of age or older). 
  • Experience working as a lifeguard, teaching swim lessons and performing pool management, or any equivalent demonstration of training or experience.
 
Essential Functions:
  • The employee must be able to perform the essential functions of the job, with or without reasonable accommodation.    
  • The employee will work in a fitness center environment and in close quarters with other staff.
  • Employee must be able to perform additional duties as directed by management.
  • The employee will work in a swimming pool area which has an air temperature of 80 degrees and the water is 82 degrees.  
  • The employee must be able to lift at least 50 pounds and pass American Red Cross Lifeguard Certification requirements.
  • The employee must be able to pass the American Red Cross CPR for the Professional Rescuer and First Aid Certification requirements.
  • The noise level in the work environment varies from moderate to loud.
  • Hearing, as in listening to normal conversations, including one-on-one conversations, discussions in meetings, and/or telephone conversations, and answering phones for organization includes 2/3 of time in hearing.      
  • Close vision (clear vision at 20 inches or less); Distance vision (clear vision at 20 feet or more); Color vision (ability to identify and distinguish colors); and Peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point, are required.

ELL Civics Instructor (PT)

Lifeguards (PT)

YWCA Tulsa is looking for dedicated, indoor, part-time lifeguards at its two locations! Flexible schedules with the potential to work 10 to 20+ hours a week.

Hours needed for our East Campus: T/Th/Fri afternoon evenings  4:00pm-8:00pm (12 hours per week)

Hours needed for our Midtown Campus: Morning/Afternoon/Evening/Weekends 

Gym membership included. Pay based on experience. American Red Cross Lifeguard certification required; WSI certification and bilingual in Spanish a plus. We will certify qualified candidates.

Internships

Summer YWCA Tulsa Mission Impact internship

YWCA Tulsa is seeking undergraduate or graduate students for summer internships in our Mission Impact department, which oversees our racial justice, women’s empowerment, public policy, and research and evaluation work. Students will work 16-40 hours per week, based on availability, at the YWCA Midtown Center. Internships begin on or near Monday, May 23, and will run through the summer, with the possibility of renewing for the fall semester.

This internship will involve program and policy research and analysis in the areas of racial justice and women’s economic empowerment, especially immigrants’ rights, criminal justice reform, the wealth gap, and civic engagement. Interns may also be responsible for some project management, meeting and event coordination.

We are looking for highly-motivated students with strong writing and research skills, a sharp analysis of race, gender, and identity, and a demonstrated interest in social justice. The ideal candidate has a deep commitment to personal growth and learning and is highly curious and inquisitive about new subjects.

Students should have completed at least four semesters of course work. The internship will primarily be office-based but could include occasional attendance at offsite meetings in Tulsa or Oklahoma City. While this is an unpaid internship, we are happy to cooperate with an institution's requirements for academic credit.
