Communications Manager

Position Description: The Communications Manager serves as the hub of institutional information, cultivating external and internal relationships that help interpret public attitudes, engage and inform various key audiences, and safeguard assets and data. 
 
Principal Responsibilities and Duties:
  • Develop content that engages external audience segments and leads to measureable action across multiple platforms to include television, radio, and print advertisements, eNewsletters, printed newsletters, press releases, social media, website, and internal instruments.
  • Manage the development, distribution, and maintenance of all print and electronic collateral including but not limited to annual reports, brochures, flyers, workbooks, posters, and mailing lists.
  • Oversee, track, and support community outreach opportunities; Secure strategic partnerships to increase visibility within the community; Maintain and track expo kit distribution.
  • Track, measure, and report message impact by means of media impressions, anecdotal responses, presentations, etc.
  • Cultivate meaningful relationships with media outlets and public-facing entities, leveraging paid buys to create earned media opportunities and promotions. 
  • In collaboration with key department heads, develop and execute awareness, public relations, and marketing campaigns for specials events and advocacy campaigns.
  • Serve as the point person for the Tulsa Area United Way’s campaign regarding speaker requests and presentations.
  • Introduce new communication vehicles to create momentum and awareness as well as to gauge the effectiveness of overall communications activities.
  • Manage an electronic marketing ticket system, completing and/or delegating projects for completion by deadline and maintaining clear lines of communication with all staff members.
  • Engage internal audiences by providing exceptional customer service and attention to detail; maintain monthly internal eNewsletter; attend monthly department meetings and add value to programmatic marketing efforts.
  • Provide supervisory support to 1 part-time graphic designer and 1 AmeriCorps employee.
  • Provide administrative and clerical support for the Communications and Development department.
 
 
Required Qualifications:
  • Must be a passionate advocate for the mission, values and goals of the YWCA Tulsa. 
  • Excellent attention to detail – able to catch the smallest typo and remember countless names.  
  • Superior communication skills – verbal, written, and web-based.
  • Advanced writer who can adjust messaging and tone based on the audience and medium. 
  • Strong administrative skills.
  • Advanced computer skills (Microsoft Office with heavy use of Word, Outlook, and Excel).
  • Ability to perform multiple tasks in a fast-paced environment.

Facilities Manager

Position Description: Facilities Manager is responsible for planning, organizing, leading, and cost-effective management of the maintenance and facilities functions at three YWCA facilities. Responsible for establishing and maintaining an effective preventative and predictive maintenance program which encompasses all facilities, in particular the pool/spa/fitness areas at the East and PJW Midtown locations.

Staff Relations:

  •  Close working relationship with the Director of Health & Wellness, in addition to strong communication skills to interact with internal and external customers and suppliers.
  • Supervise custodial staff during business operation hours.

Maintenance and Repairs

  • Manages preventative maintenance of facility equipment, including pool/spa resources, and HVAC.
  • Schedules facility modifications, including cost estimates.
  • Repair as much as possible on own. Schedules repairs for plumbing, electrical, roofing, landscape and receives estimates for services.
  • Facilities management point person. Centralize organization requests for three facilities (repairs, furniture, general maintenance, weather related needs, promotional signage etc).
  • Conduct and document regular facilities inspections.
  • Plan and manage facility central services such as, security, cleaning, waste disposal, weather preparations, and parking.
  • Obtain quotes and payments from vendors and suppliers following procurement procedures.
  • Provides technical support and supervision of vendors for the repair of equipment and building and grounds.
  • Ensure delivery schedules, quantity and quality criteria are met.
  • Advise on and monitor energy efficiency.
  • Assure security of the facility. Respond to facility and equipment alarms and system failures.
  • First responder for urgent, unplanned/unexpected issues/problems with facility.
  • Ability to monitor/oversee facility functions after hours.

 

Program and Event Support:

  • Allocate and manage facility space for maximum efficiency.
  • Oversee and coordinate room set-ups and break down for events and meetings.
  • Attention to aesthetics and ensuring professional presentation in all client facing areas.

 

Financial and Policy Management

  • Develop and implement a facility management program including preventative maintenance and life-cycle requirements.
  • Ensure compliance with health and safety standards and industry codes.
  • Implement best practice processes to increase efficiency.
  • Calculate and compare costs for goods and services to maximize cost-effectiveness.
  • Check completed work by contractors and vendors. Verify payment and invoicing match contract pricing. Prepare and track facility budget as outlined in financial policy. Monitor expenses and payments.
  • Communicate project progress to appropriate staff and vendors.
  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases.
  •  Essential to stay current with changing technologies and regulations to successfully perform the duties of this role.

Education/Experience:

  • Associate’s degree or higher education desired. Relevant experience may substitute for the degree requirement on a year-for-year basis. In addition to the desired education, individual will need to demonstrate managerial experience and related abilities to include purchasing, supplies, grounds keeping and equipment repair.
  • Must be able to successfully handle multiple tasks, often with conflicting priorities.
  • Working knowledge of OSHA codes and industry regulations for health, safety and environmental controls is also desirable.
  • Willingness and readiness to accept new responsibilities and other duties as conditions warrant.
  • Proficient IT skills, including word processing, spreadsheets, and use of various databases. Intermediate knowledge of relevant software such as MS Office (Word, Excel, Outlook, and PowerPoint).
  • Pool Operators Permit preferred; training/certification must be completed during training cycle.

Interpreter

YWCA Tulsa is looking for Spanish-English interpreters for multiple on-going assignments. Each contracted Interpreter is responsible for traveling to client sites by appointment. The interpreter processes information quickly and concisely, recognizes sensitive cultural differences and is professional and courteous at all times. The interpreter uses appropriate terminology and understands common industry procedures and practices. Interpreting assignments may be technical or non-technical in the following fields: healthcare, government services and education and thus require expectations of privacy and confidentiality.

Assignments will take place at client locations in the Tulsa, OK area.  The interpreter must provide their own reliable transportation (driver’s license and proof of insurance may be required).

 

Major Responsibilities

The interpreter must:

  • Render correct concepts and meanings according to the conventions of established interpretation protocol
  • Provide clear and accurate renditions with no additions or omissions
  • Employ good customer service and clear enunciation, pronunciation, pleasant and professional voice as well as polite forms of expression
  • Maintain a professional demeanor throughout the assignment at all times
  • Have access to the Internet or work related electronic communication
  • Provide clarification and cultural brokering using excellent judgment and skill
  • Demonstrate commitment to cultural sensitivity and working in a diverse environment
  • Document and accurately track hours related to interpretation assignment
  • Report billing information as outlined by Finance Department in a timely manner

Qualifications

  • Fluency in English and target language 
  • Ability to provide cultural competency and assess regional and accent differences to find ways of communicating with the limited English proficient client
  • Excellent listening, retention and note-taking skills to maintain a high level of accuracy
  • Ability to concentrate and to stay detached from the conversation, remaining neutral and objective at all times and following client's instructions closely
  • Ability to explain idiomatic expressions and cultural nuances to avoid miscommunication
  • Education in languages, translation, interpretation or related fields preferred, but not required

Fitness Center Attendants (PT) 

Principal Responsibilities and Duties:

  • Greet and welcome everyone to the facility. 
  • Keep all fitness rooms clean, organized and monitor orderly operation of equipment.
  • Interact with participants, responding to their basic fitness needs and fitness equipment questions. 
  • Instruct members in the effective use of a wide variety of cardio and fitness equipment. 
  • Describe YWCA Tulsa fitness center services to members and guests.
  • Lead facility tours for prospective and new members. 
  • Ensure towels are cleaned, folded and available at all times.
  • Ensure all fitness equipment is in good working condition.
  • Ensure all equipment is reorganized and returned to proper locations throughout the day.
  • Keep work area clean and safe.
  • Observe and insure the safety and well-being of the members and guests at all times.
  • Provide fitness evaluations for members. (Midtown only)
  • Be knowledgeable about and comply with facility processes and procedures.
  • Be knowledgeable about YWCA Tulsa programs and services.
  • Be knowledgeable about front desk operations. 
  • If scheduled to work at front desk, assist in properly completing membership and program application forms and data entry.
  • If scheduled to work at front desk, answer incoming telephone calls and transfer call to appropriate individual. Record accurate messages if an individual is not available. 
  • If scheduled at front desk, assist in taking payments and collections, ensuring that all payments are received accurately and promptly. 
  • If scheduled to work at front desk, ensure that copies of fliers, forms, and other front desk materials are available. 
  • Be prepared to open and/or close the facility and work weekends.
  • Promote health and wellness.
  • Document and report all accidents and incidents, and ensure incident reports are turned into supervisor.
  • Document and report all equipment malfunctions, safety hazards and missing equipment to program manager. 
  • Participate in YWCA Tulsa functions as needed.
  • Be familiar with and follow YWCA Tulsa policies and procedures.


Required Qualifications:

  • Must possess and maintain a current CPR certificate and First Aid Certificate. -
