Office Manager

Position Description: Office Manager must demonstrate managerial skills in handling a variety of administrative and executive support related tasks. 

Principal Responsibilities and Duties

  • Provide administrative support to the Director and I&R team. 
  • Assist in the preparation of reports, presentations, or various letters. Maintain agency calendar and schedules.    
  • Supervision of Administrative Assistant position; which works in concert and under the direction of Office Manager to provide customer service to clientele and I&R staff.
  • Process and log client payments for services. Maintain individual cash drawer. Responsible for daily deposit and payment system processes.
  • Answers agency phone lines and provides information and referrals on the Tele-Ayuda phone line.
  • Responsible for becoming the subject matter expert for internal reporting and tracking system.
  • Oversees and supports other front desk personnel.
  • Coordinate internal and external meetings, conferences, travel and other events as requested, including arranging for necessary materials, food, beverages, and audio visual needs.
  • Assist with special events as needed
  • Support additional administrative needs of the office (e.g. answering telephones, distributing incoming mail, interoffice mail pickup and delivery, preparing and distributing phone listings, ordering supplies etc.)
  • Required to transport themselves to and from meetings and pick up supplies. Mileage will be reimbursed according to YWCA Tulsa policy.
  • Screens callers and walk-in clients to determine appropriate level of immigration consultation.
  • Schedules and oversees all immigration client appointments
  • Provides information and referrals to walk-in clients.
  • Provides professional interpreting and translating services as needed.
  • Participates in YWCA functions and community events as needed and requested by the Director.
  • Oversees agency supply requirements and orders supplies on a monthly bases.
  • Attends trainings/agency meetings related to job responsibilities as approved by Director.
  • Responsible for placing appropriate client materials in front lobby and updating information board.

Required Qualifications:

Education/Experience:

  • Three to five years of administrative/office management experience required.
  • Associate’s degree in secretarial science, business administration, or a related discipline desired.
  • Proficient IT skills, including word processing, spreadsheets, and use of various databases. Intermediate knowledge of relevant software such as MS Office (Word, Excel, Outlook, and PowerPoint). Experience using donor databases desired.
  • Bilingual in Spanish required.
  • Notary Public helpful.

  • Position requires sitting or standing to a significant degree (sitting 2/3 of the time; standing 1/3 of the time).   Use hands to finger, handle or feel over 2/3 of time.  Reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, may be required under 1/3 of the time.  
  • Will frequently lift, carry, and otherwise move and position objects weighing up to 10 lbs. when stock office supplies, lifting file boxes, preparing for meetings, and setting up equipment.  Will occasionally lift up to 25 lbs.

Part Time

Administrative Assistant

Position DescriptionProvides support to front desk operations for Immigrant & Refugee Services. Responsible for screening callers and walk-in appointments to I&R office. Handles multiple line phone and general administrative duties. Supports Office Manager position and other staff. Processes billing statements and schedules/confirms immigration staff appointments. Assist agency staff with immigration document translation and providing direct translation or interpreting as needed.

Interpreter

YWCA Tulsa is looking for Spanish-English interpreters for multiple on-going assignments. Each contracted Interpreter is responsible for traveling to client sites by appointment. The interpreter processes information quickly and concisely, recognizes sensitive cultural differences and is professional and courteous at all times. The interpreter uses appropriate terminology and understands common industry procedures and practices. Interpreting assignments may be technical or non-technical in the following fields: healthcare, government services and education and thus require expectations of privacy and confidentiality.

Assignments will take place at client locations in the Tulsa, OK area.  The interpreter must provide their own reliable transportation (driver’s license and proof of insurance may be required).

 

Major Responsibilities

The interpreter must:

  • Render correct concepts and meanings according to the conventions of established interpretation protocol
  • Provide clear and accurate renditions with no additions or omissions
  • Employ good customer service and clear enunciation, pronunciation, pleasant and professional voice as well as polite forms of expression
  • Maintain a professional demeanor throughout the assignment at all times
  • Have access to the Internet or work related electronic communication
  • Provide clarification and cultural brokering using excellent judgment and skill
  • Demonstrate commitment to cultural sensitivity and working in a diverse environment
  • Document and accurately track hours related to interpretation assignment
  • Report billing information as outlined by Finance Department in a timely manner

Qualifications

  • Fluency in English and target language 
  • Ability to provide cultural competency and assess regional and accent differences to find ways of communicating with the limited English proficient client
  • Excellent listening, retention and note-taking skills to maintain a high level of accuracy
  • Ability to concentrate and to stay detached from the conversation, remaining neutral and objective at all times and following client's instructions closely
  • Ability to explain idiomatic expressions and cultural nuances to avoid miscommunication
  • Education in languages, translation, interpretation or related fields preferred, but not required

ELL Civics Instructor (PT)
Position Description: Responsible for teaching curriculum plans to assist immigrants and refugees in achieving linguistic and citizenship competency to pass naturalization exam.

Lifeguard

YWCA Tulsa is looking for dedicated, indoor, part-time lifeguard.

Hours needed for our East Campus: 16 hours per week

Gym membership included. Pay based on experience. American Red Cross Lifeguard certification required; WSI certification and bilingual in Spanish a plus. We will certify qualified candidates.

Communications Internship

YWCA seeks an energetic and skilled individual with a wide range of administrative and technical skills to assist with content creation, marketing-related projects, website maintenance and social media. This position is estimated at 12 to 20 hours per week and is an unpaid, intern position which typically runs for 3-4 months. We have seasonal opportunities and are willing to consider applicants year-around.
