Director of Health and Wellness

Position Description: Under the leadership of the Chief Executive Officer, the Director of Health & Wellness is responsible for the successful operation of the two fitness and aquatics centers (open 92 hours/week) which includes all community health programs, member services, program development, program facility management, volunteer recruitment, community relations, budgeting, financial results, and supervision of the Program Managers.  A major function of this job is to assure membership and program participation growth and improve retention of membership and program participants.  Expense control and effective resource management is imperative. The successful director will ensure quality program development and implementation to best serve the community. 

Principal Responsibilities and Duties:

  • Responsible for the operational growth of YWCA Tulsa through Health & Wellness program quality, promotion and expansion, member retention, pricing strategies, new program/site development, and collaborations. 
  • Plan, develop, organize, implement, direct, and evaluate YWCA Tulsa’s Health & Wellness programs and strategies to support the overall success and business and financial objectives of the Health and Wellness programs.  
  • Participate in the development and implementation of major organization processes, such as budgets and program development/evaluation. 
  • Develop, manage, and monitor assigned operating budgets to meet or exceed targets.
  • Hire, train, and supervise H&W managers to assure that sound operating principles are in practice. 
  • Provide supervision and leadership to manager’s budget development assuring final budget proposals from each area are well thought out, challenging but realistic. 
  • Supervise membership and marketing efforts with Communications Department to assure that all health and wellness programs follow a set marketing plan and are implemented.  
  • Contribute to program development and grant proposal development, advising director and grant-writing staff on the clarity of our outcomes and the evaluation component of new initiatives and proposals. 
  • Provide a safe and inviting fitness environment for members at both centers by hiring, training, evaluating, and managing qualified staff to teach and assist with the aquatics and fitness center programs.
  • Assure environment is designed to build and foster an organizational culture of inclusion, empowerment, excellence, respect, and boldness.
  • Develop, maintain, and nurture relationships with members, partner organizations, other community entities, and local businesses. 
  • Work across diverse communities and build strong partnerships, with experience in community organizing and working across public and private sectors.
  • Establish relationships throughout the organization with management and employees in order to build effective partnerships that strengthen and feed into other YWCA Tulsa programs.
  • Develop and oversee organizational policies and procedures as a means of ensuring transparent and open communications with employees, supporting supervisors in the effective management of their employees and contract workers, while protecting the organization.
  • In partnership with the Information Technology unit, develop data tracking systems so that managers/staff are readily able to identify and highlight trends and critical issues in H&W areas.
  • Provide technical assistance to program managers where needed.
  • Coordinate, monitor, and update YWCA Tulsa H&W program policies and guidelines.
  • Provide effective leadership on health issues impacting Tulsa citizens and ensure that policies and programs at the YWCA address existing and emerging health disparities in the community.
  • Demonstrate a commitment to and promotion of YWCA Tulsa’s mission of eliminating racism, empowering women, and promoting peace, justice, freedom and dignity among all levels of staff.
  • Promote, evaluate, revise, and market existing programs to build participation
  • Institute a mechanism where members, staff, and others are continually providing feedback regarding fitness program development, fitness services, and overall health & wellness programs provided by the YWCA Tulsa.
  • Work with other program directors to identify opportunities for connecting its employees with YWCA health and wellness programming.
  • Regularly attend, evaluate, and monitor YWCA programs, many of which include evenings and weekends. 
  • Act as a support to the board of directors as assigned by the Chief Executive Officer. 
  • Represent the YWCA at community functions and in meetings of key stakeholders as needed and agreed upon. 
  • Able to assist and or process any prospective members or new members as needed.

Required Qualifications:

  • Knowledge of successful membership practices, quality program development and implementation, volunteerism, facility and property management, and sound financial practices is a must. 
  • Must possess outstanding communication and organizational skills, excellent writing and verbal skills, and superior interpersonal relationship skills with personnel and stakeholders at all organizational levels. 
  • Ability to manage, assign, delegate responsibilities, and to accomplish the desired results both through individual work and through department staff. 
  • Understanding of managing funds and budgeting, as well as ability to analyze financial information.
  • Effective oral and written communication skills, especially as required in developing new programs, preparing and making presentations, working with various committees, and interacting with diverse groups of internal and external contacts.
  • Ability to make decisions in the best interest of the YWCA.
  • An understanding of human physiology, human anatomy, and health promotion in order to safely promote physical fitness for members. 
  • Knowledge in the use of fitness equipment, land exercise, water exercise, and personal training.
  • Knowledge of the Fitness Industry and practices.
  • Knowledge of health promotion and implementation models.
  • Ability to develop team concepts of success and supervise the staff to accomplish the pre-set goals.
  • On-call during hours of Center operation.
  • Basic to intermediate computer proficiency in Microsoft Office products. Project management and fitness database software skills beneficial.
  • Must be an advocate for the mission and vision of the YWCA.

  • Current Oklahoma Driver’s license and current insurance verification. 


  • Bachelors Degree in Health, Health Promotion, Physical Education, or related field required.
  • At least five years of experience managing health and wellness and/or aquatics programs.
  • Experience in teaching any, but not limited to, group fitness classes, such as Spin, Zumba, Boot Camps, Pilates, Yoga, Strengths, Step, Water Fitness, etc.
  • Personal Trainer Certifications a plus (ASCM, NSCA, ACE, AFAA, NASM, etc.)
  • Lifeguard, Pool Operator, and Water Safety Instructor certifications a plus.

Facilities Manager 

Position Description: Facilities Manager is responsible for planning, organizing, leading, and cost-effective management of the maintenance and facilities functions at three YWCA facilities. Responsible for establishing and maintaining an effective preventative and predictive maintenance program which encompasses all facilities, in particular the pool/spa/fitness areas at the East and PJW Midtown locations.

Staff Relations:

  • Close working relationship with the Director of Health & Wellness, in addition to strong communication skills to interact with internal and external customers and suppliers.
  • Supervise custodial staff during business operation hours.

Maintenance and Repairs

  • Manages preventative maintenance of facility equipment, including pool/spa resources, and HVAC.
  • Schedules facility modifications, including cost estimates.
  • Repair as much as possible on own. Schedules repairs for plumbing, electrical, roofing, landscape and receives estimates for services.
  • Facilities management point person. Centralize organization requests for three facilities (repairs, furniture, general maintenance, weather related needs, promotional signage etc).
  • Conduct and document regular facilities inspections.
  • Plan and manage facility central services such as, security, cleaning, waste disposal, weather preparations, and parking.
  • Obtain quotes and payments from vendors and suppliers following procurement procedures.
  • Provides technical support and supervision of vendors for the repair of equipment and building and grounds.
  • Ensure delivery schedules, quantity and quality criteria are met.
  • Advise on and monitor energy efficiency.
  • Assure security of the facility. Respond to facility and equipment alarms and system failures.
  • First responder for urgent, unplanned/unexpected issues/problems with facility.
  • Ability to monitor/oversee facility functions after hours.

Program and Event Support:

  • Allocate and manage facility space for maximum efficiency.
  • Oversee and coordinate room set-ups and break down for events and meetings.
  • Attention to aesthetics and ensuring professional presentation in all client facing areas.

Financial and Policy Management

  • Develop and implement a facility management program including preventative maintenance and life-cycle requirements.
  • Ensure compliance with health and safety standards and industry codes.
  • Implement best practice processes to increase efficiency.
  • Calculate and compare costs for goods and services to maximize cost-effectiveness.
  • Check completed work by contractors and vendors. Verify payment and invoicing match contract pricing. Prepare and track facility budget as outlined in financial policy. Monitor expenses and payments.
  • Communicate project progress to appropriate staff and vendors.
  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases.

  • Associate’s degree or higher education desired. Relevant experience may substitute for the degree requirement on a year-for-year basis. In addition to the desired education, individual will need to demonstrate managerial experience and related abilities to include purchasing, supplies, grounds keeping and equipment repair.
  • Must be able to successfully handle multiple tasks, often with conflicting priorities.
  • Working knowledge of OSHA codes and industry regulations for health, safety and environmental controls is also desirable.
  • Willingness and readiness to accept new responsibilities and other duties as conditions warrant.
  • Proficient IT skills, including word processing, spreadsheets, and use of various databases. Intermediate knowledge of relevant software such as MS Office (Word, Excel, Outlook, and PowerPoint).
  • Pool Operators Permit preferred; training/certification must be completed during training cycle.

Essential Functions

  • The employee must be able to perform the essential functions of the job, with or without reasonable accommodation.
  • Incumbent may be required to lift and carry up to 25lbs when stocking supplies, preparing for contractors, and setting up room arrangements. May be required to lift, carry and/or move up to 75lbs of equipment. Incumbent may be exposed to extreme temperatures, close quarter situations, high and precarious places, moving mechanical parts, and vibrations. Frequently required to travel between our three YWCA Tulsa locations.

Immigration Program Administrative Assistant

Position DescriptionProvides support to Immigration Program operations. Responsible for screening callers and walk-in appointments. Handles multiple line phone and general administrative duties. Supports Program Manager and Immigration Program staff. Data entry of time-sensitive information.  Schedules/confirms immigration staff appointments. Assist Immigration Program staff with communicating case updates to clients as needed. Assist agency staff with immigration document translation and providing direct translation or interpreting as needed.

Principal Responsibilities and Duties:

  • Answers agency phone lines and provides information.  
  • Screens callers and walk-in clients to determine appropriate level of immigration consultation.
  • Schedules immigration client appointments.
  • Provides information to walk-in clients.
  • Assistance with documentation and record keeping of agency reporting requirements.
  • Provides professional interpreting and translating services as needed.
  • Participates in YWCA functions and community events as needed and requested by the Director.
  • Monitors Program supply orders.
  • Attends trainings/agency meetings related to job responsibilities as approved by Manager.
  • Data entry and management on agency-wide database and legal management database.

Required Qualifications:

  • Must be able to work with minimal supervision and multitask.
  • Intermediate to advanced computer skills in Microsoft Office and various databases.
  • Ability to speak, read, and write English as well as Spanish fluently.

Interpreters (contract)

YWCA Tulsa is seeking experienced interpreters of Spanish, Burmese, Zomi, Arabic, French, and other languages to expand our contractor pool for client requests. Contract interpreters receive assignments based on availability and volume of client requests; numbers of assignments will vary from week to week. 

Interpreters process information quickly and concisely, recognize sensitive cultural differences and are professional and courteous at all times. Interpreters uses appropriate terminology and understand common industry procedures and practices. Interpreting assignments may be technical or non-technical in the following fields: healthcare, government services and education. Contract interpreters are responsible for traveling to client sites by appointment. 

Major Responsibilities

Drop-In Child Care Attendant

Opening for part-time child care attendants for children whose parents are participants in our educational programs. Children range in age from 6 weeks through 8 years. You will provide developmentally-appropriate care, comfort, nurturing and guidance to infants/toddlers in order to enhance their emotional and physical growth as outlined by NAEYC and State Licensing guidelines.

Duties include: Ensure the cleanliness, orderliness, and safety of facility according with health and hygiene standards, including but not limited to the toileting area, toys, cots, sheets, and diaper changing area.

Gym membership included. Schedules may vary including some evening and weekends.

Spanish bilingual required.

Communications Internship

YWCA seeks an energetic and skilled individual with a wide range of administrative and technical skills to assist with content creation, marketing-related projects, website maintenance and social media. This position is estimated at 12 to 20 hours per week and is an unpaid, intern position which typically runs for 3-4 months. We have seasonal opportunities and are willing to consider applicants year-around.
